Step-by-step guide
Please note that all forms and digital applications (e-services) are currently in Swedish. Contact Citizen Service if you need help in English.
1. HOW TO BOOK (SINGLE OCCASIONS)
1.1 Open the municipality’s online booking system
Go to the municipality’s booking system for facilities and halls. There you can both view available times and submit a booking request.
1.2 Choose facility and time
Select the hall/facility, date, and time that suit you.
1.3 Fill in details and sign
Follow the form in the booking system. Personal identity numbers must be entered with 12 digits, and you verify yourself with electronic identification (e-ID).
1.4 Confirm the booking
Once you have submitted the request, you will receive confirmation according to the system’s instructions. Note that the tenant is responsible for ensuring the facility is suitable for the activity, and that local regulations apply.
1.5 Book by phone (alternative)
If you prefer to book by phone, we are available Monday–Thursday 12:00–14:00.
2. SEASONAL BOOKING (ASSOCIATIONS)
2.1 When can I book?
Hall times for the indoor season are applied for before each season; the application deadline is May 31 (always check boden.se for the current season’s dates).
2.2 How do I apply?
Applications are made using the form “Booking request – seasonal booking of sports hall.”
2.3 Allocation and prioritization (selection)
- The municipality allocates times based on incoming applications according to current priorities (a distribution meeting may be held if needed).
- Associations listed in the municipality’s association register are given priority over other tenants. Youth sports up to age 16 are prioritized in school halls and on Björknäsvallen’s artificial turf.
- Public facilities (such as Bodens Energi Arena, Hildursborg A-hall, and Björknäsvallen’s natural grass pitch) prioritize senior/elite teams by division first, after which remaining times are allocated to juniors and others.
- The allocation of football practice times in the artificial turf hall (Pjäshallen) takes place in three periods: During October–December, it is the low season with no priority between youth and senior teams.
From January to March, senior football is given priority, and from March onwards, youth football is prioritised.
2.4 Association Portal
Associations use the Association Portal (the municipality’s grant and booking system) for, among other things, booking times and applying for grants.
3. RULES and CANCELLATIONS
Applies to all of the municipality’s sports halls.
3.1 Access and evacuation
Access to the hall is permitted only at the booked start time. The last five minutes of each session should be used to finish up and leave the hall. Changing rooms: May be used 15 minutes before and 15 minutes after training sessions, and 1 hour before and 30 minutes after matches.
3.2 Equipment and safety
Restore equipment after use. Never block evacuation routes. A responsible leader (18+) must be present and is the last to leave the facility. Key holders are responsible for locking up and switching off lights.
3.3 Shoes/resin/balls
Indoor shoes only (no black soles). Football is prohibited in Hildursborg A-hall. Handball resin is only allowed in Hildursborg A-hall (prohibited in other halls/areas). No ball or stick activities in corridors, staircases, or changing rooms.
3.4 Cleaning after events
The organiser is responsible for basic cleaning of the field and stands, and for emptying bins and toilets. Other booked areas, such as the kitchen and serving area, must be cleaned according to the instructions provided on site.
3.5 Cancellation
- Single facility: Cancellation later than 7 days will be charged the full cancellation fee + 100%.
- Matches/tournaments/events: Cancellation later than 14 days will be charged the full cancellation fee + 200%.
If the hall needs to be used for repairs, a match, or another event, your booked time may be temporarily cancelled. The time will not be compensated.
3.6 Alcohol/drugs
Facilities are doping- and drug-free environments; alcohol and doping-classified products are prohibited.
4. ASSOCIATIONS – GOOD TO KNOW
- Booking and support: Use the Association Portal for grants, bookings, and contact details.
- Prioritization: Grant-eligible associations have priority; youth activities are strongly prioritized in school halls.
4.1 Contact and help
- Booking phone line open Monday–Thursday 12:00–14:00.
- Citizen Service: Helps you find the right form/person or get in touch with the correct case officer.
QUICK TIPS
- Book well in advance of the season!

If anyone stays longer or leaves late, an overtime fee may be charged.
